Phaser 740


View and Configure Status Notification Settings (Phaser 840 and 780 printers); View and Configure Email Notification Settings (Phaser 740 and 360 printers)

PhaserLink Status Notification (Email Notification) allows the printer to automatically send email to the system administrator and specified users under the following conditions:

  • When printer errors, warnings, and alerts occur.
  • When the printer requires attention (for example, when service is required).
  • When a reply to a PhaserLink Remote Internet Printing message is desired. See the PhaserLink Remote Internet Printing User Manual for more information on PhaserLink Remote Internet printing.

This email notification capability is supplied by an SMTP client embedded in the printer's firmware.

Three designated users can receive messages: SysAdmin, Service, and Key User. Printer messages reporting errors, alerts, and warnings can be individually assigned to any of these users. This page contains a link to the View and Configure Status Notification Message Settings page for Phaser 840 and 780 printers ( View and Configure Email Message Settings for Phaser 740 and 360 printers), which is used to assign these messages to the designated users. The following table describes the fields on the page used to configure status notification.

View and Configure PhaserLink Status Notification (Email Notification) Settings

SMTP Server IP Address

The IP address of the SMTP server. With the Phaser 840, 740 and 780 printers, this could also be an IP host name (255 characters maximum).

This parameter can also be set from the View and Configure PhaserLink Remote Internet Printing Settings page.

SMTP Domain Name
(Not in Phaser 840)

Enter the SMTP domain name (255 characters maximum).

This parameter can also be set from the View and Configure PhaserLink Remote Internet Printing Settings page

SMTP Reverse Path

In this field, enter the email address that undeliverable mail will be sent to (79 characters maximum).

This parameter can also be set from the View and Configure PhaserLink Remote Internet Printing Settings page.

Printer Name

This field allows you to specify the printer's name (32 characters maximum).

This parameter can also be set from the View and Configure SNMP Settings page and the View and Configure PhaserLink Remote Internet Printing Settings page.

System Location

This field allows you to specify the printer's location (255 characters maximum).

This parameter can also be set from the View and Configure SNMP Settings page and the View and Configure PhaserLink Remote Internet Printing Settings page.

System Contact

This field allows you to specify the name of the contact person for printer problems (255 characters maximum).

This parameter can also be set from the View and Configure SNMP Settings page and the View and Configure PhaserLink Remote Internet Printing Settings page.

Usage Profile Time Interval - hours (Phaser 840, 740 and 780 only)

Enter a value in hours. Full usage profile reports are automatically sent at the specified time interval (for example, every 48 hours). This setting applies as long as the Regular Intervals check box on the View and Configure Status Notification Custom Settings page for Phaser 840 and 780 printers is checked ( View and Configure Email Custom Settings page for Phaser 740 printers).

Usage Profile Page Interval - pages (Phaser 840, 740 and 780 only)

Enter a value in pages. Full usage profile reports are automatically sent at the specified page interval (for example, every 1000 pages). This setting applies as long as the Regular Intervals check box on the View and Configure Status Notification Custom Settings page for Phaser 840 and 780 printers is checked ( View and Configure Email Custom Settings page for Phaser 740 printers).

Usage Profile Verbose Email

Specifies the format of the usage profile reports to be sent by email.

With Labels. Sends a report in which all fields are labeled. This format contains only those fields containing non-zero values.

Without Labels. Sends a report containing only data values, without labels on the fields. This format contains all fields, including those containing zero values.

Email to Xerox

On. Email is automatically sent to Xerox in the event of a printer fault or a usage profile report email request. This is not a service call to Xerox.

Off (Default). Email is not automatically sent to Xerox in the event of a printer fault or a usage profile report email request.

SysAdmin Email Address

The email address of the person to receive the SysAdmin messages. If this field is empty, SysAdmin messages will not be sent. The maximum length is 79 characters.

Service Email Address

The email address of the person to receive the Service messages. If this field is empty, Service messages will not be sent. The maximum length is 79 characters.

Key User Email Address

The email address of the person to receive the Key User messages. If this field is empty, Key User messages will not be sent. The maximum length is 79 characters.

SysAdmin Subject Text

In this field, you can enter up to 127 characters that will appear in the subject field of all SysAdmin email messages sent by the printer. If the field is blank, the printer sends the pre-set subject line: Email notification from \$. Service Subject Text

In this field, you can enter up to 127 characters that will appear in the subject field of all Service email messages sent by the printer. If the field is blank, the printer sends the pre-set subject line: Email notification from \$. Key User Subject Text

In this field, you can enter up to 127 characters that will appear in the subject field of all Key User email messages sent by the printer. If the field is blank, the printer sends the pre-set subject line: Email notification from \$. SysAdmin Message Text

In this field, you can enter up to 255 characters to be used as the text for all SysAdmin email messages sent by the printer. If the field is blank, the printer sends the pre-set message: Printer \$ ( \% ) ( \# ) \*. See Subject line and message text special characters for the meaning of \$ and other special characters.

Service Message Text

In this field, you can enter up to 255 characters to be used as the text for all Service email messages sent by the printer. Key User Message Text

In this field, you can enter up to 255 characters to be used as the text for all Key User email messages sent by the printer.
